Dear Sharon:
As you know, we are in the midst of preparing the Tourism Development & Marketing
Plan for the City of Round Rock, which is to be completed before the end of November,
2003.
The contract we are working within includes three trips to Round Rock for research,
meetings and presentations, etc. Per the request of the steering committee, we propose to
add one additional trip to Round Rock. This will allow us the time to present the plan to
the working committee, attend additional meetings with key stakeholders, and will let us
fine-tune the recommendations prior to the final presentation before the City Council.
The cost of this trip would not exceed $3,240 plus travel costs, which are billed at actual
cost. We estimate the travel to not exceed $800 (airfare, rental car, lodging and meals for
two days).
We propose that this "additional work" be done as an extension of the existing contract,
within the same terms and conditions as already agreed to. Perhaps this could be
accomplished through a simple "letter of understanding."
Thanks again for using our services, and we look forward to working with the City
further as we complete this Plan.
