CM-2019-0064 - 3/1/2019SUPPLEMENTAL AGREEMENT NO. 1 TO "CITY OF ROUND ROCK AGREEMENT FOR PROFESSIONAL CONSULTING SERVICES WITH ARSENAL ADVERTISING" CITY OF ROUND ROCK § STATE OF TEXAS § COUNTY OF TRAVIS § COUNTY OF WILLIAMSON § KNOW ALL BY THESE PRESENTS: THIS SUPPLEMENTAL AGREEMENT NO. l to "City of Round Rock Agreement for Professional Consulting Services with Arsenal Advertising, LLC" hereinafter called "Supplemental Agreement No. l," is made by and between the City of Round Rock, Texas, a home -rule municipality, hereinafter called the "City" and Arsenal Advertising, LLC, hereinafter called the "Consultant." WHEREAS, the City and Consultant previously executed the referenced "Agreement for Professional Consulting Services" for a new Marketing Plan for the City's Convention and Visitors Bureau and other related services, hereinafter called the "Agreement," on May 24, 2018 by Resolution No. R-2018-5491; and WHEREAS, the City and Consultant desire to extend the Agreement through September 30, 2019, amend the scope of services and increase the costs payable to Consultant, as set forth herein; NOW THEREFORE, in consideration of the mutual promises and obligations in the Agreement and this Supplemental Agreement No. 1, the City and Consultant agree that said Agreement is amended and supplemented as follows: 1. Pursuant to Section 2.01(B) of the Agreement, the term of the Agreement is renewed through September 30, 2019. The renewal period shall commence upon expiration of the expiration of the initial term of the Agreement. if. Section 3.01, Scope of Services shall be amended as set forth in Exhibit "A," attached hereto and incorporated herein by reference for all purposes. 00418887Iss2 pooh -o � Section 4.01, Costs, shall be amended as follows: A. Consultant shall be paid on the basis of actual hours worked in accordance with page eleven (11) of Exhibit "B" ("Hourly Rate Schedule") attached hereto for the term of this Agreement. The fees for the initial one (1) year term of this Agreement shall not exceed Two Hundred Thousand and No1100 Dollars ($200,00.00). The fee for the renewal period throes September 30, 2019 shall not exceed Firty Thousand and No1100 Dollars ($50,000.00). IV. This Supplemental Agreement No. 1 shall amend the original Agreement only as set forth herein with no other changes in terms or conditions of the original Agreement or the companion Work Made for Hire Agreement. Our work for the last year focused around exploring the market landscape, researching competitors, interviewing stakeholders both within the City and outside including City Management, Sports Management & Tourism Team, hoteliers, sports planners and event planners. Aller we compiled and analyzed this valuable information, we concluded that Round Rock is expanding to become a more well- rounded destination with more to offer than just sports and it is time to elevate the brand! With the potential of new audiences in the meeting and leisure markets, Round Rock needs to show that they are the best in sports and more -by adjusting the brand in a way that positions them as a standalone destination while still nodding to their Sports Capital of Texas reputation. The new logo encapsulates all of Round Rock's offerings and sets the stage for a new website and social media handles as well as new collateral and ad campaigns. With the Iaunch of the new brand, we will continue to tell the overall story of the Sports Capital of Texas, while educating and raising awareness of the new offerings and brand. As your full-service advertising; agency, our professional services starting May 1, 2019 through September 30, 2019 will focus on three key areas: 1. Gaining exposure and expanding into the meetings market 2. Gaining exposure and expanding into the leisure market 3. Improve brand visibility with locals and tourists alike to garner support of the new brand 1. Gaining exposure and expanding into the meetings market As Round Rock continues to evolve as a more well-rounded destination, we will explore opportunities in print and digital media to gain exposure for the new meeting spaces. Because of the arrival of Kalahari Resorts & Conventions, our advertising; will reach a new audience interested in meetings. Our creative executions will highlight the energy and excitement of Round Rock while featuring the city's new offerings. Our media buy will target meeting planners in Texas and around the nation. As we have in the past, we will continue to negotiate for the very best ad placements with all of our trade media. 2. Gaininiz exposure and exnanding into the leisure market With the entrance of Kalahari Resorts & Conventions as well as the Ruby Hotel, Round Rock is on its way to becoming; not only a destination for sports travelers, but also a destination for meeting and leisure travelers. Round Rock will have a plethora of new hotel rooms, many new restaurants and entertainment options, as well as the Iargest water park in North America. These new offerings will attract everyone from families to weekend travelers to girls trip groups that just want to get away and more! -Our creative Exhibit "A" executions will highlight these new offerings in a fun and interesting way. Our media buy will target leisure travelers in Texas and beyond. 3. Improve brand visibility with locals and tourists alike to earner su art of the new brand With any brand launch, it is important that the brand is embraced by all. In Round Rock's case, it is important for not only tourists to be aware of the brand, but the local community as well. Residents are extremely important to a city's brand because they are the brand ambassadors on the front lines touting the greatness of the community. Our community campaign will piggyback off the efforts of the brand launch and will focus mostly on garnering acceptance and support of the Sports Plus brand among locals. We explore opportunities to gain exposure and credibility in the community with media vehicles like Community Impact and take advantage of signage opportunities within the City.
