CM-2024-036 - 2/2/2024Texas State Library and Archives Commission State and Local Records Management Division Training Agreement City of Round Rock Wednesday, February 28, 2024 Round Rock, Texas This agreement contains the details of the training to be provided by Texas State Library and Archives Commission (TSLAC) to City of Round Rock employees on Wednesday, February 28, 2024 from 8:30am – 11:30am and 1:00pm-4:00pm. The training will take place at Round Rock Public Library, 200 E. Liberty Ave. Training Program: ½ Day of Introduction to Records Management and ½ Day of Managing Electronic Records. Training: TSLAC staff will present the specified training program and provide the following: 1.1 Class books and instructional materials. 1.2 PowerPoint presentation loaded on a laptop or a thumb drive issued by TSLAC. 2. Room setup and audiovisual equipment: City of Round Rock will provide a room sufficient to meet the needs of the class size that includes the following: 2.1 A projector and screen, along with any equipment necessary to connect TSLAC’s laptop to the projector OR computer, projector, and screen with clicker. 2.2 Tables and chairs set up lecture-style in groups of four/six/etc. 2.3 Podium with a microphone. 2.4 City of Round Rock is responsible for ensuring room is accessible to attendees with disabilities and providing any necessary accommodations requested by attendees. 3. Parking: Parking available in the parking garage adjacent to the library. 4. Registration: City of Round Rock will handle registration and billing for individual entities and departments. 4.1 Registration is open to City of Round Rock employees. 4.2 Under Government Code, §441.182(g), TSLAC may charge a registration fee to recover costs for this training. The registration fee for this training is $30 per attendee attending both sessions, and $20 per attendee attending one session (either in the AM for Introduction to Records Management or in the PM for Managing Electronic Records 4.3 TSLAC requires a minimum of 20 and a maximum of 40 registered attendees per session to confirm the training. CM-2024-036 4.4 4.5 4.6 TSLAC will bill City of Round Rock via an invoice to the following contact person: Davetta Edwards, Deputy City Clerk, 512-218-6644 dedwards@roundrocktexas.gov City of Round Rock will send a final list of attendees to TSLAC following the end of the training session. In the event fewer than the required minimum number of registered attendees attend the training, City of Round Rock is still responsible for paying the registration charges for the minimum number of registered attendees. The amount billed will be no less than $800 and no more than $1,200.00, depending on final attendance numbers. 5.Cancellation: TSLAC reserves the right to cancel the training if the minimum number of attendees is not met two weeks prior to training event. 6.Governing Law and Venue: This agreement shall be governed by and construed in accordance with the laws of the State of Texas. The venue of any suit arising under this agreement is fixed in any court of competent jurisdiction of Travis County, Texas.
