RESOLUTION NO. f OO / f WHEREAS, landscape architectural services are necessary for the renovation of the City Hall Annex for the City of Round Rock, and WHEREAS, the landscape architectural firm of The David Bost Group has submitted an agreement to provide the needed landscape architectural services, and WHEREAS, the City Council wishes to accept said proposal, Now Therefore, BE IT RESOLVED BY THE COUNCIL OF THE CITY OF ROUND ROCK, TEXAS That the Mayor of the City of Round Rock, Texas, is hereby authorized and directed to execute on behalf of the City, an agreement submitted by The David Bost Group, a copy of such agreement being attached hereto and incorporated herein for all purposes. February 5, 1988 City of Round Rock 214 East Main St. Round Rock, Texas 78664 Attn: Sharon Prete, Director Parks and Recreation Department RE: Proposal for Landscape Architectural Services City Hall Annex Restoration Round Rock Dear Mrs. Prete: We are pleased to present this proposal for services required for the above referenced project. This proposal is based on the following general informa- tion and represents our recommendation of design services for the project. SOME OE SERVICES A. Preliminary Design including the analysis of your site improvement program and site information, and the development of a site design con- cept that will provide a functional plan unified with the adjacent site development and with a positive visual impact creating a "park -like" setting for the overall project. These services will include: 1. Review and refine the site development program as per our discus- sion of February 1, 1988. 2. Analysis of site information as provided by the City of Round Rock and the Architectural consultant for existing property lines, utilities and easements, topography and drainage patterns, and ex- isting vegetation. This analysis and our on -site analysis of ex- isting visual character and views will help to determine the potentials and limits for site improvement concepts. 3. Refine and further develop the site plan to provide a conceptual site design addressing building location, the relationship of the site to adjacent structures and site uses, paving, grading and retaining walls, site lighting, planting and furnishings. 4. Review and coordinate preliminary design and cost estimate with The City of Round Rock for comments and authorization to proceed. 5. The preliminary design presentation will include an overall site plan with specific areas enlarged as necessary to illustrate 1 design detail of proposed design elements. B. Construction Documents will include the preparation of construction drawings, specifications, and contract documents for the approved preliminary design. These documents will provide for a site improvement contract including: 1. Site layout plans providing dimensioned locations of buildings, walks and other paving materials, retaining or planter walls and site furnishings, as well as construction detail references. 2. Grading plans providing elevation controls for the above improve- ments and proposed contours and drainage patterns for improved site areas. 3. Irrigation plans providing design of required piping, irrigation equipment, automatic controller, and pipe sleeves under pavement. 4. Planting plans providing quantities, sizes, types and locations of plant materials. 5. Construction details accompanying the above plans as needed for paving materials, grading and retaining or planter walls, irrigation, planting and site furnishings. 6. Specifications for site paving, grading, retaining walls, irrigation, planting and furnishings. 8. Contract documents including the above plans and details, and a project manual with bid forms, the specifications, and a contract form for your review and approval before bidding. C. Construction Contract Administration will include the following services for those items described in the construction documents: 1. Assist in pre - qualifying bidders, prepare necessary bid documents, attend pre -bid meetings, issue addenda, respond to questions from bidders and assist in pre - construction meetings. 2. Make scheduled construction meetings at the site to monitor the progress and quality of work, and to determine if work is proceed- ing in accordance with contract documents. Prepare related reports and communications. 3. Prepare and distribute necessary change orders of work to be added, deleted or modified. 4. Review applications for payment. Approve or modify for approval. 2 COMPENSATION for the above scope of services will be a lump contract sun of Two Thousand Five Hundred Dollars ($2,500.00). Work in addition to the above scope of services shall be charged at the fol- lowing rates: Principal /Landscape Architect $50.00 hr. Project Manager $35.00 hr. Secretarial /Camp. Tech. $20.00 hr. REINSURSABLE EXPENSES are in addition to the Compensation for Basic and Addi- tional services and include actual expenditures made by the Landscape Ar- chitect in the interest of the Project and include the expense of reproduc- tions of Drawings and Specifications and other documents, excluding reproduc- tions for the office use of the Landscape Architect. Compensation for Reimbursable Expenses will be a multiple of 1.1 times their actual cost to cover the cost of administration. The above amounts will be invoiced monthly or upon completion of each phase of the Scope of Services as described above. Invoices will be due and payable within 30 days of receipt. There will be a late penalty charged on overdue amounts at rate of 5% per month. We look forward to working on this project and to working in close coordina- tion with the project Architectural Consultants. We appreciate the oppor- tunity to present the above proposal and hope that it fulfills your project needs. Please call if we can help to further refine the project design services. If these services and fees are acceptable, you may indicate your concurrence and authorization to proceed by signing this proposal in the space provided and returning one copy to our office. STAFF RESOURCE PERSON: Sam Huey This contract is for work to be performed in the City Hall Annex Renovation to a Civic Center type of facility. Funds for this contract will be paid from the hotel /motel tax receipts set aside for the Civic Center project.
