L Updated 3-9-05 DATE: August 17, 2005 SUBJECT: City Manager Approval at the August 19, 2005 Staff Meeting ITEM: Consider an amendment authorizing the City Manager to execute and approve additional funds to the original agreement of June 15, 2005, for Professional Services with Coulter Engineering for the preparation of a metes and bounds description and sketch to accompany field notes for the Annexation of FM 1460. Department: Planning Staff Person: Jim Stendebach, Director of Planning Justification: The purpose of this amendment is to approve additional funding for the preparation of a second set of field notes and sketch to maintain the required 1,000 foot width of strip annexation of FM 1460. This agreement was first submitted on June 15, 2005, by Coulter Engineering proposing a contract of $2,850.00 for the strip annexation project of FM 1460. Since that time the engineer has requested an additional fee of $500.00 for the second set of field notes and sketch in order to maintain the required 1,000 foot width of the proposed project. Funding: Cost: $3,385.00 Source of funds: Professional Services Outside Resources: Coulter Engineering Background Information: Funds were budgeted in account no. 5216- 100-14000 for annexation field notes. It has become necessary to amend the contract to provide for Preparation of a second set of Field Notes and Sketches to maintain the required 1,000 foot width. The amount billed to the City on the amended authorization will not exceed the amount of $500.00 above the initial authorization in the June 15, 20051etter. I have executed one copy of this letter for your records. If this is acceptable, I would very much appreciate it if you would return the duplicate copy of this letter with your signature acknowl- edging that this is an acceptable amendment to our agreement.
