purchase of the Racial Profiling Upgrade will allow this
department to more accurately report these statistics.

Background Information: The Racial Profile Module currently exists as
part of the Police Department's RMS system.
The purchase of the upgrade will allow for
additional user defined fields in the module.

Executive Summary
The City of Round Rock has requested that SUNGARD HTE, Inc. (SunGard) provide a
written quote and Scope of Work (SOW) for SunGard to provide two new customizable
fields in the Racial Profile module within the Records Management System and Mobile
Field Reporting software.
The purpose of this document is to provide a written Scope of Work for the project that
defines all SunGard deliverables, criteria for acceptance, resulting annual maintenance,
hardware and infrastructure requirements, implementation schedule and other
implementation considerations.
Items, features or functionality not specifically included in this document shall be
considered outside of the scope of work. Any change will require a written Change Order
that is approved by both the Customer and SunGard and shall be subject to additional
charges and will have an impact on the implementation schedule. Change Orders shall
not delay the implementation, acceptance, or payment in full of the accepted base
functionality proposed within this document.
Please refer to the Section entitled, "Parties Responsibilities" which documents each
party's responsibilities, any project dependencies and other important related issues.
SunGard is providing application software and implementation services related to the
application software only to meet the specifications contained in this Scope of Work. All
other components required for a successful implementation are the responsibility of the
customer.
Parties Responsibilities
Client Responsibilities
Licensing
City of Round Rock agrees to execute SunGard's standard software license agreement
and software maintenance agreement for all existing products installed at the Customer's
site.
Software / Hardware
The Customer is responsible for providing the following:
1) All equipment, system software and other components to meet the needs of this
project.
2) All required hardware, cable and connectors and personnel to facilitate installation
thereof.

Infrastructure
1) The customer shall assign a full-time primary System Administrator (SA) and a
backup System Administrator. This primary System Administrator will be
SunGard's contact for all operational issues that require SunGard support. In
addition, the Customer's System Administrators shall provide first line support to
their own users for all application software.
OSSI Responsibilities
1) Provide the Customer with a detailed Statement of Work for the proposed
development.
2) Develop related application software/utilities to meet the specifications agreed upon in
the detailed statement of work.
3) Provide a project manager and assigned staff for the development and
implementation of the proposed application. Cindy Salay will represent SunGard in
this capacity.
4) All communication with SunGard regarding the ,specifications contained within this
document should be directed to the attention of Christine Spoon.
Background
City of Round Rock would like to add two additional pick list fields to the Racial Profile
Module in RMS and MFR.
Specifications
CONFIDENTIAL
SunGard will provide the following application software development to meet the needs of
the customer:
1. New settings will be added to Agency Configuration to define the labels for two (2)
user -defined fields. A label must be specified for each field in order to make the
field available on the Page 1 tab of the Racial Profile interface.
2. Each field will be function as a pick list which can be defined from the RMS Racial
Profile interface by users having pick list maintenance security rights.
3. The functionality of each field will be consistent with other pick list type fields in
the RMS software. The field will be available in Search mode to allow the user to
retrieve records based on the value stored in the field.
4. The new fields will also be available in OSSI Mobile Field Reporting application.
This requires the agency to first define the fields and pick list codes in RMS, and
then Update MobMast\Code Tables from the Mobile Tab in System

Configuration.
5. Data collected in these fields from the MFR application will be transferred to the
production RMS database along with other racial profile data elements in the
usual fashion.

Documentation is not applicable.
Training
End user training for this enhancement is not applicable.
Pricing
SunGard will provide the development associated with this Statement of Work for a one- time
fee of $ 1,500 The development fee is due upon delivery or installation of the updated
software on the customer's application server. Additional annual maintenance specific to this
project is not applicable.
Pricing is valid for 30 business days after the City of Round Rock has received this written
Statement of Work.
Installation
Files necessary to fulfill the functionality described in this document will be delivered to the
Agency within 90 business days of receipt of this signed Statement of Work.
Target delivery dates assume that this SOW, signed by an authorized representative of the
City of Round Rock, is received by SunGard within 45 business days after Agency has
received this Statement of Work.
Contract Terms
CONFIDENTIAL
Development and any other services under this SOW shall be governed by the Contract
and Agreement between Customer and SunGard plus the terms below which shall
supersede conflicting terms in the Contract and Agreement.
1. SunGard shall own the work product created under this SOW, including any computer
programming code.

If applicable, any code created hereunder will be licensed to Customer under the
terms of the Contract and Agreement.
3. Maintenance of any code created hereunder is not mandatory for continuation of the
license and the cost thereof is not included in the development costs. Any
maintenance services shall be optional, subject to an additional charge (as may be
reflected herein), and shall be provided under the terms and conditions related to
maintenance and support in the Contract and Agreement.
4. SunGard's liability for damages to Customer for any cause whatsoever under this
SOW, regardless of the form of action, is limited to the total amount of fees paid by
Customer under this SOW. In no event will SunGard be liable for any consequential
damages.
5. Unless otherwise specified herein, payment terms are: 50% upon execution hereof
and 50% upon delivery. Any travel and living expense reimbursements shall be
invoiced and payable monthly.

As I said yesterday, I have reviewed the SunGard software addition agreement. Late yesterday afternoon, I got a
chance to go over it with Steve, and he's OK as well with the substantive stuff. However, the version we have is a
pdf, and a change needs to be made on Page 5 as to signatures. Alain Babin can't be the signatory on this --
Nuse needs to be. Can you have PD make this change and re -send? Otherwise, we are saying that this is a go.
I'm assuming that you will get the revised agreement back to the folks at PD and they will then ship it through
channels for city manager execution -- correct? Thanks.
